Step 0: The Prerequisite (Do This First)

Yahoo blocks standard password logins from third-party apps for security. You must generate an App Password to connect any backup tool.

  • Go to the Yahoo Account Security page (login via web browser).
  • Scroll down to "Other ways to sign in" or "App passwords".
  • Click Generate app password.
  • Enter a name (e.g., "Thunderbird Backup") and click Generate.
  • Copy this code. You will need it to log in during the steps below.

Method 1: The Free Route (Mozilla Thunderbird)

This is the best method because Thunderbird is free, open-source, and handles large mailboxes well.

1. Sync Your Emails
  • Download and install Mozilla Thunderbird.
  • Open it and go to Account Settings > Add Mail Account.
  • Enter your Name, Yahoo Email, and the App Password you generated in Step 0 (NOT your regular password).
  • Thunderbird will automatically detect the IMAP settings. Click Finish.
  • Wait for the emails to download. This may take hours depending on your mailbox size.

2. Backup to Hard Drive
Once the emails are visible in Thunderbird, they are cached, but if you delete them on the server, they might disappear here too. You need to make a permanent local copy.

Option A (Drag & Drop):
  • Create a folder under "Local Folders" in the left sidebar (e.g., "Yahoo Backup 2025").
  • Select all emails (Ctrl+A) in your Yahoo Inbox.
  • Drag and drop them into this local folder.
  • These emails are now physically stored on your computer's drive.

Option B (Export to MBOX/EML):
  • Click the "Menu" (three lines) > Add-ons and Themes.
  • Search for "ImportExportTools NG" and install it.
  • Right-click your Yahoo Folder in the sidebar > ImportExportTools NG > Export folder.
  • Select your External Hard Drive or SSD as the destination.
  • It will save your emails as standard MBOX files, which can be read by most email programs later.

Method 2: The Office Route (Microsoft Outlook)

If you already have Outlook installed, this method is very clean as it creates a single .pst file.

1. Add Account
  • Open Outlook > File > Add Account.
  • Enter your Yahoo Email and the App Password.
  • Let Outlook sync all your folders. (Ensure "Keep mail offline" slider is set to "All").

2. Export to PST
  • Go to File > Open & Export > Import/Export.
  • Select Export to a file > Next.
  • Select Outlook Data File (.pst) > Next.
  • Select your Yahoo email account (ensure "Include subfolders" is checked).
  • Click Browse and select your External Hard Drive as the save location.
  • Click Finish. You now have a portable backup file of your entire mailbox.

Method 3: The "One-Off" Route (PDF)

If you only need to save a few specific legal or financial emails, do not use the bulk methods above.

  • Open the email in Yahoo Mail (Web).
  • Press P (or click More > Print).
  • In the printer destination, select "Save as PDF".
  • Save it directly to your Hard Drive.
