  • Open Outlook and click on File in the top left corner.
  • Select Open & Export > Import/Export.

Step 2: Choose Export Type
  • Select Export to a file and click Next.
  • Select Outlook Data File (.pst) and click Next.

Step 3: Select Folders
  • Click on your email address at the top of the list to ensure all folders (Inbox, Sent, Archive) are selected.
  • Ensure the checkbox "Include subfolders" is ticked.
  • Click Next.

Step 4: Save to Hard Drive
  • Click Browse and select your External Hard Drive or SSD as the destination.
  • Name the file (e.g., "Outlook_Backup.pst") and click Finish.
  • You can set a password if you want, or just click OK to skip it.

Method 2: Outlook.com / Web Users (The Thunderbird Route)

If you use the free Outlook.com via a browser, you cannot "download" emails directly. The "Export Mailbox" feature in settings takes up to 4 days to send a download link. The faster way is to use a free desktop client.

Step 1: Enable POP/IMAP
  • Login to Outlook.com via browser.
  • Go to Settings (Gear Icon) > Mail > Sync email.
  • Ensure "Let devices and apps use POP" is set to Yes.

Step 2: Sync with Thunderbird
  • Download and install Mozilla Thunderbird (Free).
  • Add your Outlook.com email and password. Thunderbird will auto-detect settings.
  • Wait for all emails to download to the client.

Step 3: Export to Hard Drive
  • Install the "ImportExportTools NG" add-on in Thunderbird.
  • Right-click your Outlook folder in the sidebar > ImportExportTools NG > Export folder.
  • Select your External Hard Drive. This creates a permanent, offline copy of your emails in MBOX format.

Method 3: "New Outlook" for Windows (The "Export" Feature)

Microsoft is replacing the Mail app with "New Outlook." This version recently added an export feature, but it behaves differently.

How to Check: If your Outlook has a "Pre" tag on the icon or looks like the web version, you are using New Outlook.

The Steps:
  • Go to Settings (Gear Icon) > General > Privacy and data.
  • Look for the Export mailbox button.
  • Click Export.
  • Warning: This does not download immediately. Microsoft prepares the file on their server, which can take up to 4 days.
  • Once ready, they will email you a download link. You can then click that link to save the file to your Hard Drive.

Method 4: Single Email Backup (Drag & Drop)

If you only need to save a specific important email (e.g., a tax invoice):

  • Open the Outlook Desktop app.
  • Minimize the window so you can see your Desktop or Hard Drive folder.
  • Click and hold the email from the list.
  • Drag it out of Outlook and drop it into your folder.
  • This creates a .msg file which can be opened on any computer with Outlook.

Summary

  • Classic Outlook Users: Use Method 1 (PST Export). It is instant and reliable.
  • Web / Free Users: Use Method 2 (Thunderbird) for immediate backup.
  • New Outlook Users: Use Method 3 if you are willing to wait a few days for the download link.
